with Scout
From the email in your inbox to a restaurant ready to go. We’ll walk through each step together.

Before you start
A few things to have nearby
This guide is for someone who has been invited to Scout. You can leave it open while you work. A browser is the app you use to open websites, such as Safari, Chrome, or Edge. A tab is one of the pages open in that browser.
- Your invitation email. You need access to the email address where the invitation arrived.
- An internet connection. Stay connected while you set up and save your changes.
- Your personal phone, if you’re an operator. Have Okta Verify available. A computer or iPad beside your phone makes scanning the setup code easier, but you can also use just your phone.
- Your restaurant details, if you’re setting up a restaurant. Have its name, local timezone, and five-digit Chick-fil-A restaurant number ready. You can add people manually if you don’t have the number or roster connection ready.
In these instructions, select means click with your mouse or tap with your finger. Words in bold often match the label of a button or box on your screen.

Set your password, protect your account with Okta Verify, and complete restaurant setup if Scout asks you to.

Set your password, then open the Scout app. Your operator handles restaurant setup. Shift-leader access is for the app.
Do steps 1–2, then go to step 8 →Check your invitation or ask the person who invited you. Being on the restaurant’s people list does not create a Scout sign-in. Team members use their roster identity on the shared iPad; only people who need account access receive an invitation.
01 · Everyone
Open your invitation email
- Open the email app or website where you normally read your mail.
- Look for your Scout invitation. Searching your inbox for Scout can help. If someone just sent it, give it a few minutes and refresh your inbox.
- Open the email and check the restaurant and the person inviting you, if shown. Note the Scout sign-in email: this is the address you’ll use to sign in later.
- Select Set up my Scout account in the email. It opens Scout in a browser. The production Scout account website is app.scout.restaurant.
- On Scout’s invitation page, select Continue once. Wait for the password screen to appear. Opening the email link and pressing Continue are two separate steps.

I can’t find the email, or the link doesn’t work
Check Spam, Junk, and any work-email quarantine. Confirm with your inviter that they used the right email address. Ask them to resend the invitation if it is missing or expired, then use the newest email. Each invitation link works once.
If you already saved a password, go to Scout sign-in (opens a new tab) instead of using the invitation again. If an email’s built-in browser gets stuck, reopen the original email link in Safari or Chrome before selecting Continue. Don’t share or forward your personal invitation link.
02 · Everyone
Choose your Scout password
- Select the New password box. Choose a password with at least eight characters. A longer, unique password is a good choice. This is the password for your Scout account.
- Select Confirm password and enter the exact same password again. Capital and lowercase letters must match.
- If you need to check your typing, select Show passwords. Make sure no one nearby can read the screen.
- Select Save password. Wait while the button says Saving…. Continue only after Scout confirms the password was saved or takes you to the next screen.
- If your personal device offers to save the password in your password manager, you can use that to remember it. Avoid saving personal operator credentials in a shared browser.
Your password stays the same until you change it. Okta Verify displays a temporary six-digit code for the extra security check. You’ll add Scout to Okta Verify in the next step if you’re an operator.
Operators: continue to step 3. If your account already has an authenticator, use its existing Scout code when asked.
Shift leaders: Scout should show that your account is ready. Go to step 8 to open the app. You do not need to create a restaurant.
Scout says my passwords don’t match
Clear both boxes and enter the password again. Check for an extra space and whether Caps Lock is on. On a phone, check which letters the keyboard capitalized. If Scout shows another password requirement, follow the message on that screen and try saving again.
03 · Operators
Add Scout to Okta Verify
Scout calls this an authenticator or two-factor setup. It protects your operator account with a code from your personal phone. Keep Okta Verify installed after setup; you’ll need the Scout entry again when signing in or resetting your password.
If you already use Okta Verify at work, keep that account. Add a separate entry for Scout. When Scout asks for a code, use the entry you added from Scout’s setup page.
- On your personal phone, open Okta Verify. If you don’t have it, find Okta Verify by Okta, Inc. in your phone’s App Store or Google Play Store. If your phone is managed and installation is restricted, ask your device administrator for help.
- Back in Scout, find Protect your operator account. Select I have an authenticator — continue.
- Scout opens Set up authenticator. Follow the device instructions below. Only start again if your current setup was interrupted; starting again creates a new setup key.
Using a computer or iPad + your phone
- In Scout, select Computer + phone. Leave the square QR code visible on that screen. A QR code is a patterned square your phone can scan.
- On your phone, open Okta Verify and tap + to add an account. Choose Other when asked for the account type.
- Choose the QR scanning option if prompted, allow camera access, and point your phone at the QR code on the Scout screen. Use Okta Verify’s scanner.
- Once the entry is added, find its six-digit code. Return to Scout and type it into Verification code.
- Select Verify and continue. Wait for Scout to accept it and move you forward.
Using just my phone: enter the setup key instead
You can’t point your phone’s camera at its own screen. Scout provides a text setup key for this situation. Leave the Scout tab open while switching apps.
- In Scout, select Just my phone, then Copy setup key.
- Switch to Okta Verify. Tap +, choose Other, and look for Enter Key Manually or the manual-entry option.
- Name the entry Scout. Paste the copied key into the key field and save the entry. If asked for a code type, choose Time based.
- Find the new entry’s six-digit code. Switch back to your Scout browser tab, enter it in Verification code, and select Verify and continue.
To paste on a phone, touch and hold inside the empty key field, then choose Paste. To return to Scout, use your phone’s app switcher or reopen Safari or Chrome and select the Scout tab.
Okta’s labels can vary by version. See Okta’s third-party authenticator instructions (opens a new tab).
Use only the QR code or key on your own Scout setup screen. Don’t send either to someone helping you. Scout’s security check asks you to enter a code; there is no Scout push notification to approve.
Scout accepts the code and opens restaurant setup or your existing dashboard. Seeing a code in Okta Verify alone does not finish setup—you must enter it in Scout.
The code is rejected, or Okta asks for an organization URL
Wrong code: check that you’re reading the Scout entry, including the correct account if you have more than one. The code changes regularly; wait for a fresh one and enter all six digits, including any starting zero. Check that your phone’s date and time are set automatically if codes keep failing.
Organization URL: return to Okta Verify’s account-type choice and select Other for Scout. You do not need to enter a Chick-fil-A organization address to add this Scout code.
Interrupted setup: if Scout offers a fresh setup, follow it and use the newly added entry. An old, unfinished setup key will not work. Keep existing verified Scout and work accounts intact. If you’re unsure which entry is which, ask for help before removing anything.
No manual-entry option: use Scout on a computer or iPad and scan its QR code with your phone. A compatible time-based authenticator such as Google Authenticator or Microsoft Authenticator is also supported by Scout; follow that app’s own add-account instructions.
04 · Operators setting up a restaurant
Save your restaurant details
If you’ve joined an already configured restaurant and Scout opens the dashboard, skip to step 7. Otherwise, Scout’s setup has three screens: restaurant details, people, and stations.
- In Restaurant name, enter the name your team recognizes.
- In CFA restaurant number, enter your restaurant’s five-digit number. Keep any zero at the beginning. For example, a five-digit number can start with 0. Use your own restaurant’s number.
- If you don’t have the number yet, leave it blank and plan to add people manually in the next step. You need the correct number before connecting Chick-fil-A.
- Open the Timezone list and choose the timezone where your restaurant operates. Check this even if Scout has already selected a value.
- Select Save and continue. Wait while Scout saves. If you see an error below a field, correct that field and select the button again.
The People step opens. Your restaurant details have been saved.
Saved steps are kept if you leave and return. Finish saving before closing the browser. Text still being edited may need to be entered again.
05 · Operators setting up a restaurant
Add your people
Scout needs at least one active person before you can finish setup. You can bring in your active Chick-fil-A team or add people manually.
Connect your Chick-fil-A team
- Find Connect your Chick-fil-A team. Check the restaurant number on the button. If it’s wrong, go back and correct the restaurant details before connecting.
- Select Connect restaurant followed by your number. Scout takes you to Chick-fil-A’s sign-in page.
- Sign in with the Chick-fil-A account approved to access your restaurant’s team information. Use that account’s sign-in method and any verification it requests. Your Scout password is for Scout.
- Review the permission request and allow the team-member access needed for the connection. If the account or restaurant is wrong, stop and ask your operator to confirm the right access.
- Wait to return to Scout. Check the connection result and the active people count. Confirm that your people appear; don’t assume the import finished just because sign-in succeeded.
- Select Continue to stations once at least one active person is available.
Or add people manually
- Find the manual people section and select Add person.
- Enter the person’s Full name. Add a Nickname only if useful for the floor display.
- Keep Active enabled for someone who should appear in Scout.
- Select Add person in the form. Wait for the name to appear in the list. If saving fails, follow the error and retry.
- Repeat for additional people, then select Continue to stations.
Importing or adding someone here does not send an invitation or create a login. Team members select their identity on the shared iPad. Operators manage invitations for people who need operator or shift-leader access separately.
I can’t connect Chick-fil-A right now
If the connection is unavailable, permissions are missing, or sign-in fails, you can use manual people to continue setup. Ask your restaurant operator which Chick-fil-A account has team-member access for this location. You can connect later from People or Settings. If a people import succeeded, check the existing list before adding the same people manually.
06 · Operators setting up a restaurant
Set up your stations
A station is a place or position where someone works, such as Front Counter or Drive-Thru Window. These names appear on the shared iPad.
- Choose the FOH tab. FOH means front of house. Scout needs at least one active FOH station to finish setup.
- Select Add FOH station.
- Enter a clear Station name, such as Front Counter. Use the names your team already uses.
- If helpful, enter a Short iPad label, such as DT Window. It is optional.
- Select Add station and wait until it appears in the station list.
- Add any other stations you need. The BOH tab is for back-of-house stations. Adding only BOH stations does not meet the FOH setup requirement.
- Check your names and labels. If you edit a field in the list, select outside it to save, and wait for the saved result. Resolve failed saves before moving on.
Your restaurant has saved details, at least one active person, and at least one active FOH station. Scout enables Open Scout when its setup requirements are met.
07 · Operators
Open your dashboard
- From the last setup step, select Open Scout. Wait for your dashboard to load.
- If Scout offers a site guide, follow it for a short tour. You can skip it and return to the guide from the app’s navigation later.
- Check that you’re in the right restaurant. Forms is your starting page. People and Stations let you review the setup you just saved.
- Save Scout sign-in (opens a new tab) as a bookmark on your personal computer if helpful. Use that page next time; your invitation was only for the initial setup.
The short tour introduces Forms, Insights, Training, People, Stations, and Access. Finishing setup makes the restaurant ready; you’ll create or publish forms and assign pathways separately as your restaurant needs them.
Open Scout is unavailable, or setup comes back
Read the setup message and revisit the missing step. Confirm that restaurant details were saved, a person is active, and an FOH station is active. A name still in an unsaved form does not count. If you see a save error, resolve it and try again. Ask your inviter for help if the restaurant shown is not yours.
08 · Shift leaders and operators using the app
Open Scout on your device
For a full walkthrough with the verified App Store download and every sign-in step, read Download Scout and sign in.
Shift leaders use the Scout app. Operators can also use the app for floor work. The web dashboard is for operators.
- After saving your password, follow Scout’s account-ready instructions. You can also open Get Scout (opens a new tab) on the phone or iPad where you want to use it.
- If Scout is already installed, use the option to open it. If it isn’t, follow the installation option shown for your device. Your restaurant may use an invitation or managed installation.
- If no installation link is available, ask the person who invited you for the correct link for your phone or iPad. Don’t choose an unrelated app just because it is also named Scout.
- Open the Scout app. Enter the same email address that received the invitation and the Scout password you saved in step 2.
- If Scout asks for an authenticator code, open Okta Verify, read the current code for your Scout entry, return to Scout, and enter it.
- Wait for the restaurant to load. Once the restaurant is ready, the shared iPad opens to the station board.
If you opened Get Scout on a computer, its QR code opens the public installation instructions on your phone. Use your phone’s Camera app for that installation QR. It does not sign you in. The authenticator QR in step 3 has a different purpose and must be scanned inside Okta Verify.
Operators can follow the link to finish setup in the browser. Shift leaders should ask their operator to complete it. Creating another account won’t complete the restaurant’s setup.
You’re set for your first visit.
- You know your Scout sign-in email and password.
- If you’re an operator, you can find the Scout code in your authenticator.
- You can open the operator dashboard or the Scout app for your role.

I’m waiting for an Okta notification
For Scout’s authenticator check, open Okta Verify yourself and look for the Scout entry. Type its current six-digit code into Scout, then select Verify and continue. You won’t get a Scout approval notification. Codes from your existing work account are for that account, not your new Scout entry.
I forgot my Scout password
Open Scout’s password reset page (opens a new tab), enter your Scout email, and request a reset email. Open the newest email and follow its Continue step. If your account has an authenticator, Scout asks for its code before allowing a password change. Choose and confirm your new password, save it, then use the new password to sign in.
I lost my phone or can’t get a Scout code
Contact the person who manages your Scout access for account-recovery help. Explain that you no longer have your Scout authenticator. A new password email does not remove the code check. Don’t delete other accounts from Okta Verify or send anyone your setup key, QR code, password, or security code.
I’m a shift leader and the website won’t let me in
Your shift-leader access is for the Scout app. Follow step 8 to open or install it and sign in. If you need to manage forms or restaurant settings in the web dashboard, ask your operator to confirm the access you should have.
I left halfway through—where do I restart?
If your password was saved, sign in using it. Don’t reuse the invitation. Use your existing verified Scout authenticator if asked. If authenticator enrollment was unfinished and Scout offers a fresh setup, follow the new instructions. Restaurant details, people, and stations that finished saving are kept; review what’s present before adding them again.
The screen is too small, or I can’t see a button
Scroll down the page; the next button may be below the part you can see. On a phone, dismiss the keyboard to see more of the page. On a computer, you can enlarge text with Ctrl + plus on Windows or Command + plus on Mac. This guide also has a Print this guide button near the top, so you can keep a paper copy nearby.
Scout says it couldn’t connect or save
Check your internet connection. Keep the page open, read the error, and use its retry or save action when the connection returns. Wait for a saved confirmation or the next screen. If you return later, check the list for your previous change before adding it again.
Share your step number, whether you’re using a phone, iPad, or computer, and the exact error message. If sharing a screenshot, leave out passwords, setup keys, QR codes, verification codes, and private invitation links. A helper never needs your code to explain a step.
